The short version
- We collect only what we need to plan and book your travel.
- We do not sell your personal information, and we do not share it with anyone so they can market to you.
- Passport, health and dietary details go only to the airlines, hotels and operators that need them for your trip.
- Never send full card details by email, SMS or WhatsApp. Card numbers belong in a secure payment form or with the supplier taking payment.
- We use AI-assisted tools to help us work, never to make decisions about you, and we do not let your information be used to train a provider’s general-purpose AI model.
- You can ask us what we hold about you, correct it, get a copy, or ask us to delete it — and appeal if we say no. Email info@notabletrip.com.

1. Who we are and what this covers
This policy explains how Silent Shores LLC, trading as Notable Trip, collects and handles personal information when you visit our website, contact us about travel, or book a trip through us.

Silent Shores LLC is the party responsible for the information described here. If you have a question about it, write to us and a person will answer you.
Where we collect information through a form, a document upload or a marketing sign-up, we also show a short notice at that point explaining what the information is for. Those notices sit alongside this policy; they do not replace it.
2. What we collect
Information you give us when you inquire
Your name, email address, phone number, and what you tell us about the trip you want — destinations, dates, number of travelers, budget range, interests, and the occasion.
Information you give us when you book
Everything above, plus what suppliers require in order to issue travel documents:
- Full legal name as it appears on your passport, date of birth, gender as shown on your ID, and nationality
- Passport number, issue and expiry dates, and country of issue
- Address and emergency contact details
- Frequent flyer, hotel loyalty and known traveler / Global Entry numbers, if you want us to use them
- Travel insurance policy details, where you share them with us
- Names and details of the other people traveling with you
Sensitive information, only where it is relevant
Some travel arrangements require information that may be legally sensitive: health and medical details, accessibility and mobility needs, dietary and religious requirements, citizenship and immigration-related information, and information about children.
We collect and use it only where it is relevant to what you have asked us to arrange. Where applicable law requires your consent before we process it, we will ask for that consent at the point we collect it, and you may withdraw it where the law gives you that right. Withdrawing consent may mean we or a supplier can no longer provide the arrangement it related to.
You are never obliged to tell us any of this. But a supplier can only accommodate what it knows about, so telling us usually works in your favor.
Children
Our website and our booking service are intended for adults. We do not knowingly invite a child under 13 to give us personal information directly.
When an adult books travel that includes a child, that adult confirms they are the parent or guardian, or are otherwise authorized to provide the child’s information for the booking. We collect only what we or the relevant supplier reasonably need, and we apply any consent requirements the law imposes on information we know belongs to a child.
Calls, messages and support interactions
When you call, message or otherwise communicate with us, we collect the content of the communication together with related contact, time and delivery information.
If we record or transcribe a call — for quality, training, fraud prevention or service reasons — we will give you the notice, or obtain the consent, that applicable law requires before doing so.
Website and device information
When you use our website we may collect your IP address, browser and device information, the pages and searches you interact with, referring pages, approximate location derived from your IP address, cookie and similar identifiers, and how you interact with our forms and communications.
We use this to operate and secure the site, understand how it performs, prevent fraud, and — where your privacy choices permit it — measure how well our marketing works.
Information from other sources
We may also receive information about you from:
- Travel suppliers and booking systems, confirming or updating a reservation
- Payment processors, confirming that a payment succeeded or failed
- Referral sources and partners, where you asked to be introduced to us
- Advertising and lead platforms, where you submitted an inquiry through them
- Someone else in your travel party who is booking on your behalf
- Publicly available sources, where we need to verify something
Payment information
Card details should be entered only into an approved secure payment form, or given directly to the supplier or payment processor taking the payment. We keep a record that a payment was made and for how much.
We do not intentionally store full card numbers or card security codes in our booking systems, email, messaging apps or file notes, and we ask our team not to accept them that way. Please do not send full card details to us by email, SMS or WhatsApp — ask us for a secure payment link instead.
3. Why we use it
We use your information to:
- Answer your questions and prepare quotes and itineraries
- Make, hold, change and cancel bookings with airlines, hotels, cruise lines, operators and other suppliers
- Send you your confirmation, travel documents and pre-departure information
- Reach you while you are traveling if a flight changes or something needs sorting out
- Handle payments, refunds and supplier claims on your behalf
- Detect and prevent fraud, and keep our systems and your booking secure
- Keep records we are required to keep for tax, accounting and consumer protection purposes
- Understand and improve how our website and our service perform
- Send you travel ideas and offers, only through the channels you have agreed to (see Section 10)
4. AI and automated tools
We use software, including AI-assisted tools, to help our team do its job — summarizing inquiries, drafting and organizing itinerary ideas, translating information, checking for fraud, and improving customer support. Three commitments go with that:
- No automated decisions about you. We do not use automated decision-making or profiling that produces legal or similarly significant effects for you. A person always decides what we recommend and what we book.
- No model training on your information. We do not permit your personal information to be used to train a provider’s general-purpose AI model, and we choose tools and settings that allow us to hold that line.
- We minimize what goes in. We keep passport numbers, payment details and health information out of AI tools unless it is strictly necessary and the provider is contractually bound to protect it.
Anything an AI tool drafts is reviewed by one of our travel designers before it reaches you as a confirmed arrangement.
5. Who we share it with, and who we do not
We share only what is necessary, only with:
- Travel suppliers — airlines, hotels, cruise lines, transfer and car rental companies, tour operators, ground handlers and destination management companies — so they can deliver the services you booked. Once we pass your details to a supplier, that supplier handles them under its own privacy policy.
- Payment processors and our bank, to take payment and issue refunds.
- Our service providers — for example website and cloud hosting, our booking and client-record systems, email, messaging and telephony tools, secure document transfer, analytics, fraud prevention, customer support tools, accounting software and professional advisors. They may use your information only for the purpose we contracted them for, and are required to protect it appropriately for that service and under applicable law.
- Government and border authorities, where an airline, cruise line or destination is legally required to submit passenger information such as Advance Passenger Information (API/APIS).
- Professional advisors and authorities, where we are legally required to disclose information, or need to in order to establish or defend a legal claim.
- A successor business, if Silent Shores LLC is ever involved in a merger, acquisition, financing, reorganization or sale of assets — information may be disclosed during due diligence or transferred to the buyer, subject to confidentiality and applicable law. We will not use this to sell client information as a standalone product.
We do not:
- Sell, rent or trade your personal information.
- Share your information with third parties so they can market to you.
- Share your health, dietary, accessibility or children’s information with anyone who does not need it to look after you on your trip.
- Post your name, your photographs or your trip details anywhere public without asking you first.
6. Where your information is processed
Travel is international. Your information may be processed in, or accessed from, countries other than the one you live in, for two reasons:
- To provide your travel — through airlines, hotels, operators and other suppliers in the places your trip touches.
- To run our business — through approved service providers and support teams, which may be located outside the United States.
Privacy laws in those countries may offer weaker protection than your own. We send only what is needed, limit access to what is reasonably necessary, and use contractual, technical and organizational safeguards where they are required of us. By asking us to arrange travel in a destination, you understand that your details must be shared with suppliers there.
7. How long we keep it
- Inquiries that do not become bookings: up to 24 months, in case you come back to the idea, then deleted.
- Booking records, invoices and correspondence: 7 years after travel, to meet tax, accounting and consumer protection obligations.
- Passport and identity details: deleted once your trip is complete and any related claim is closed, unless you ask us to keep them on file to make future bookings easier.
- Sensitive details (health, dietary, accessibility): deleted once your trip is complete, unless you ask us to keep them for future trips.
- Call recordings and transcripts, where made: kept only as long as needed for the purpose they were made for, and no longer than 12 months unless a dispute or legal obligation requires otherwise.
- Marketing contacts: until you unsubscribe. We also remove contacts who have not engaged for 36 months.
When a retention period ends we delete or anonymize the information in our active systems. Limited copies may survive for a while in encrypted backups, under a legal hold, or in records the law requires us to keep; those stay protected until they are deleted on their own schedule.
8. How we protect it
We use encrypted connections on our website, access controls and strong authentication on our systems, and reputable hosting, messaging and email providers. Access to booking files is limited to the people who need it, and access to passport and health information is restricted further. Everyone working with us is bound to confidentiality. Paper documents are stored securely and shredded when no longer needed.
Two practical rules that protect you more than anything else we do:
- Do not email passport scans or medical documents. Ask us for a secure upload link and we will send you one.
- Do not send card numbers by message. Ask us for a secure payment link instead.
No system is perfect. If a security incident triggers a legal notification obligation, we will notify the individuals affected and the relevant regulators as applicable law requires, and take reasonable steps to contain and remedy it.
9. Cookies, analytics and advertising
We use technologies that are strictly necessary to operate and secure the site — remembering form entries, keeping sessions working, and protecting against abuse. These cannot be switched off without breaking the site.
We may also use analytics and measurement technologies to understand how the site performs, and advertising technologies to reach people who may be interested in our trips.
Where consent is legally required, non-essential technologies are not activated until you make a choice, through the preference control on our site. Where applicable law gives you an opt-out right for targeted advertising, or for the sale or sharing of personal information, we provide a control for it and honor legally recognized universal opt-out signals, such as Global Privacy Control, where we are required to.
You can also block or delete cookies in your browser. Blocking the strictly necessary ones will stop parts of the site working.
Our site may include buttons or embedded content from Instagram, Facebook, TikTok or WhatsApp. Those platforms may set their own cookies when you interact with them, under their own privacy policies.
10. Marketing and how to stop it
Marketing is separate from the messages we send about a trip you have booked.
- Email marketing requires your consent. Unsubscribe from any marketing email, or tell us, and it stops.
- SMS and WhatsApp marketing requires separate, specific consent. Agreeing that we may contact you about your booking on WhatsApp is not consent to marketing there.
- Operational messages — a flight change, a payment reminder, a document you need before departure — are not marketing, and unsubscribing from marketing does not stop them. They stop when your trip is over.
We keep a record of the consent you gave and when, so we can honor it.
11. Your privacy rights
Whatever you tell us, you keep control of it. Depending on where you live and whether the relevant law applies to us, you may have the right to:
- Know and access what personal information we hold about you, and where we got it
- Get a copy in a portable format
- Correct anything inaccurate or out of date
- Delete your information, where we are not required to keep it
- Limit or object to how we use it
- Opt out of targeted advertising, or of any sale or sharing of personal information
- Withdraw consent you gave earlier, including for sensitive information, without affecting what was already done
- Stop marketing to you, at any time, with no explanation needed
- Appeal a decision we make on a privacy request (see Section 12)
As a matter of policy, we do not sell personal information and we do not share it for cross-context behavioral advertising. If that ever changes, we will provide the opt-out control the law requires rather than relying on this policy alone. We will not treat you differently for exercising a privacy right.
This policy is written for travelers in the United States. If you live in California, New Jersey or another US state with its own privacy statute, we will honor the rights that law gives you to the extent it applies to us.
One practical note: if you ask us to delete your information while a trip is booked, we may not be able to keep the booking running, because suppliers need your details in order to carry you.
12. How to make a request, and how to appeal

We will verify your identity as far as is reasonably necessary — we are not going to hand your passport details to somebody who is not you — and respond within the period applicable law requires. Our target is 30 days. Requests are normally free, though the law may allow a reasonable fee, or a refusal, for requests that are excessive, repetitive, manifestly unfounded or that we cannot verify.
You may use an authorized agent, and we may ask for proof of their authority.
To appeal: if we deny your request and applicable law gives you a right of appeal, reply to our decision or email info@notabletrip.com with the subject line “Privacy Appeal”. A different person will review it and we will respond within the time the law requires. If we deny the appeal, we will tell you how to contact the regulator or complaint channel that applies.
13. Complaints
If you are unhappy with how we have handled your information, please tell us first — email info@notabletrip.com and we will look into it and reply in writing.
If we cannot resolve it, you may complain to the New Jersey Division of Consumer Affairs, the Office of the New Jersey Attorney General, or the Federal Trade Commission. If your own state has a privacy regulator or enforcement office — the California Privacy Protection Agency, for example, or your state attorney general — you may complain there instead.
14. Changes to this policy
We will update this policy when our practices change. The current version, with its effective date, is always on our website. If a change materially affects how we use information you have already given us, we will tell you directly rather than relying on you to notice.
